8 hours/day; 5 days/week; 211 day per year (includes 11 holidays). Time range: 7:00 am - 3:30 pm. Start date: Immediate

Work location: Ridgefield High School office

 

JOB GOAL:   The primary responsibility of the Secretary for Student Activities is to provide support for the Associated Student Body (ASB) programs and provide additional support to building operations.  This position requires an awareness and connection to all student activities for grades 7-12.

 

EDUCATION: Minimum educational requirement is High School diploma or GED certificate and an Associates Degree or comparable equivalent in related field from an accredited public or non-profit College or University. Vocational/Technical education may apply.  At District discretion, related experience may replace educational requirement.

 

EXPERIENCE: Three years relevant office experience and/or education required (educational office environment preferred).  At District discretion, education and/or training may replace required work experience.

 

DUTIES: May include, but are not limited to:

  • Maintain, in conjunction with the Secretary for Athletics, all ASB financial records using established policies and procedures and applicable state laws.
  • Perform ASB and building operations budget related duties, monitor and reconcile budget accounts in accordance with District policy.  
  • Receive, receipt, and deposit incoming monies in accordance with district policy and procedures.
  • Electronically record all monies in the district financial system on a timely basis.
  • Process requisitions based on budget and fund balance availability.
  • Provide monthly fund balance, revenue and expense reports to building advisors, coaches, and student council to assist in monitoring financial activities.
  • Maintain and report all building gifts and donations to the District Office in accordance with District policies and procedures.
  • Receive goods/services; prepare purchase orders and invoices for payment in a timely manner.
  • Maintain billing records of all student activity related accounts receivable.
  • Maintain and reconcile cash boxes for building activities.
  • Maintain and process reimbursements for imprest checking accounts in accordance with district policies and procedures.
  • Reconcile bank statements for imprest checking accounts.
  • Maintain records and reconcile all ticket sales for related building activities.
  • Maintain records from ASB meetings (minutes) in accordance with state retention requirements.
  • Work with ASB advisor(s) to comply with rules and regulations regarding ASB.
  • Maintain all records of fundraisers, including fundraiser reconciliations for student non-athletic related activities.
  • Maintain building activities calendar in coordination with District activities office.
  • Assist the Assistant Principal in coordination of ASB activities and programs.
  • Maintain all student fines and fees records in the District financial system.
  • Arrange travel for non-athletic related groups traveling from the buildings (i.e. travel, meals, lodging).
  • Maintain and process records of non-athletic Extra Curricular Supervision.
  • Inventory and maintain stock of supplies.
  • Assist building administrators in maintaining up-to-date building web information.
  • Assist other office personnel as directed.
  • Process and maintain all work in accordance with District, State and Federal rules, regulations, policies, procedures and legal requirements.
  • Maintain accurate records in compliance with accounting and record keeping practices.
  • Assess, interact, exercise discretion and respond to situations involving staff, students, parents, the public and visitors in order to take appropriate action, provide information, facilitate communication among parties, and/or direct to appropriate personnel for resolution.
  • Maintain and stay up to date on changes in applicable state laws regarding ASB and student activities.
  • Attend all district led ASB and financial trainings, and local WASBO trainings.
  • Basic knowledge of other secretarial staff duties to insure a smooth and continuous operation of the office/buildings in the event of one or more absences.
  • Notify appropriate authority immediately in the event of any incident occurring on school premises.
  • Perform basic first aid when necessary.
  • Perform physical tasks, including repeated lifting up to 50 pounds and standing for extended periods.
  • Perform general office duties.
  • Perform related duties as required.

 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to communicate and carry out District/building rules, regulations and procedures.
  • Possess competent record keeping skills.
  • Possess computer skills/experience including word processing, database, spreadsheet, and other technological skills as requested to function at an administrative support level.
  • Ability to access and work within computerized data systems.
  • Ability to read, write and compute per needs of position.
  • Proficient accounting skills to include knowledge of rules, regulations and procedures.
  • Proficient in composing and preparing letters and reports inclusive of correct grammar, spelling and punctuation.
  • Possess competent organizational skills.
  • Possess effective communication skills.
  • Ability to problem-solve as needed.
  • Ability to work with others as part of a team and maintain a positive attitude.
  • Ability to establish and maintain effective and cooperative working relationships with students, parents, staff and the general public.
  • Ability to accurately read, understand, interpret and follow written/oral instructions.
  • Ability to work independently and flexibly having minimum supervision in a very close office setting.
  • Ability to work within the constraints of constant interruption, meet deadlines, perform under pressure and multi-task.
  • Ability to operate technological equipment and other office machines/equipment as required.
  • Ability to maintain confidentiality.
  • Ability to lift and carry weights up to 50 pounds without assistance.
  • Ability to attend pertinent workshops pertaining to position
  • Ability to update skills as required.
  • Consistent, reliable attendance according to established work schedule is required.
  • Demonstrate proficiencies as assessed by District skills inventory.
